Setting up the new checkout flow

What: This guide explains how to customize the checkout flow for your course catalogue, once SpeedAdmin support has activated it for your school.

Why: These settings control what applicants see and need to agree to when registering, so getting them right up front means the checkout matches your school's own terms and the information you need to collect.

How: Follow the steps below

This guide assumes SpeedAdmin support has already turned on the new checkout settings for your school. If any of the tabs below aren't available yet, contact SpeedAdmin support to have them enabled.

Step 1: Set up "Registration Settings"

  1. Go to "Settings"
  2. Click on "Registration".
  3. Open "Registration Settings".

Step 2: Check your "Course catalogue" settings (General tab)

  • Decide whether to hide the birth year filter from applicants.
  • Decide whether to only display schools that have published courses.

Step 3: Add your terms and conditions texts (Terms and conditions tab)

Review the following texts. 

  1. General Terms & Conditions
    Always shown, even if text is left blank. Every customer going through checkout sees and must accept the general terms, no matter what they're signing up for.
  2. Discount Agreement Text (Financial Aid)
    Shown only when both of these are true: the school has financial aid/discount vouchers turned on, AND the customer's cart actually includes a financial aid application. If neither applies, the customer never sees this text.
  3. Instrument Hire Text
    Shown only when both of these are true: the school has instrument hire turned on, AND the customer's cart includes an instrument hire item. Otherwise it's skipped.
  4. GDPR Agreement
    It is shown when someone creates a new account, always, also if text is left blank. Existing users can also be asked to re-accept it later if they haven't confirmed it recently.
  5. IBAN/BIC Terms
    Shown when the payment method requires bank account details (IBAN/BIC), for example direct debit/SEPA payments. If the customer pays another way, they don't see this. It's also shown separately whenever someone adds or edits their bank details in their account payment settings, regardless of checkout.
  6. Right of Withdrawal Text
    Shown only if the school has actually filled in this text in their settings. If the field is left empty, customers never see it or have to accept it - it simply doesn't appear.

Scroll to the bottom of the page and click "Save".

Step 4: Set up your checkout confirmation messages (Checkout confirmation tab)

Use it to set the welcome message a guardian sees on their landing page after registering, one for a guardian completing checkout for the first time, and a different one for a guardian who's registered before.

Leave a textbox empty and no welcome message is shown.

Scroll to the bottom of the page and click "Save".

Step 5: Create the "Fieldsets" the school needs (Fieldsets tab)

Click on "+ Create new fieldset", give it a name, and click on "Create"

If your school/hub already have many fieldsets in Legacy, and you want to keep them, open the Legacy "Fieldset" tab in a separate browser tab so you can recreate them manually. For each field, set it to visible or hidden based on need, mark it as required where relevant, and add help text to explain the field.

If you need to ask an extra question that isn't already covered, go to "Settings" > "Custom fields" and click "+ Create": 

Under "Overall Information"
  1. Field Name: Enter the question. Try to have it short and clear and use "Help text" in the fields set for extra info
  2. Field Type: Select the type of question.
  3. Order: Specify where the question should appear in the sequence. For example, entering 0 will place the question first.
  4. Read Access and Write Access: Only relevant to profiles and not checkout
  5. Section: If you want to categorize questions on profiles, you can create a header for each section. It is only relevant to profiles and not checkout
  6. Click "Create"

Once created, it appears as an option in the fieldset.

The Yes/No option is not very intuitive. For a required question, customers need to click the option once to select "Yes" and twice to select "No". Therefore, we recommend using a dropdown list for these types of questions

The Required option on a custom field only applies when manually creating a user. The Required option in the field set applies only to the checkout process.

Step 6: Assign the new fieldset(s) to your courses (Registration fields mapping tab)

Each line in the list represents one fieldset from Legacy. For each line, choose the new Play fieldset it should map to, then click "Save".

Saving on this tab updates every course that shares the same fieldset. This step needs to be finished before SpeedAdmin activates your new checkout, this tab disappears once that happens.

Step 7: Update email templates

Go to Settings > Communication >Email and SMS templates

Templates to update:

  • New checkout sign up confirmation - Guardian
    • Edit the template if necessary
    • This template will include a screenshot of the registration overview
  • Login info for new guardian in play
    • Translate the template into your language if necessary
  • Login info for new student in play
    • Translate the template into your language if necessary

The Outcome: Once you've reviewed these settings, your course catalogue and registration texts and fields are ready for the new checkout. Let SpeedAdmin support know, and we'll finalise the new checkout for your school.

Once you have worked through the guide and completed all the setup, please submit a ticket headed ‘Activate New Checkout’ and we will turn on the final feature to complete the process which will make the new checkout live. Please include details of your brand hex codes to use on the registration checkout and we will add these in. We will also migrate your current pupils year groups into their correct year group at this point

Things to be aware of: Fieldsets aren't carried over automatically from Legacy. You'll need to recreate any fields you want to keep.

Any text field you leave empty simply won't be shown to applicants during checkout.
