What: Tuition fees in SpeedAdmin Play! let a school charge for a course in different ways, depending on the tuition type. Fees cover course fees, instrument hire, and school hourly billing.
Why: Not every course is billed the same way. A term-long instrument lesson usually needs a price that adjusts for a late start or early finish, a course that skips holiday weeks needs to charge only for lessons actually delivered, and a short summer course is easier to charge as a single payment. Choosing the right fee type means customers are charged accurately without manual corrections, and schools have a clear record to justify charges for hired instruments or hourly-billed classes like ensembles.
How: Follow the steps below for the fee type you need to set up.
Please note that Upper charge category and rates must be set up before you can create a fee.
Step 1: Navigate to fees
- Go to Settings
- Go to Finance - Fees
- Click "Create" to set up a new fee
Step 2: Create a fee
- Enter a name for the fee
- Select the correct Upper charge category from the dropdown
- Enter a discount ranking price
Step 3: Usage
There are three options for how a fee can be used: Course, Instrument hire, and school hourly billing.
Course
The "Course" option opens up three price types that are invoiced differently.
Price per charge rate
A "Price per charge rate" fee charges a student based on the date range of the rate itself. It automatically accounts for a student starting late or leaving early, by charging a pro rata amount instead of the full rate.
To enable the late start, check the box "Enable pro-rata charges". The late start threshold controls how many days into the rate are considered a late start, and is accordingly charged as a pro-rata amount.

Price per lesson
A "Price per Lesson" fee charges a student based on the number of bookings that actually fall within the Rate, rather than a fixed price for the whole period. For example, a student is not charged for lessons that fall during a school holiday.
The charge is calculated based on the number of bookings within the rate.
One-off payment
A "One-off payment" fee charges a student a single time for the full price, instead of on a recurring basis. Lessons under a one-off payment can be taken at any time, since the charge is not tied to attendance or a fixed schedule.
Unlike "Price per Charge Rate" or "Price per Lesson", a One-off payment is not recalculated as lessons happen. It is best suited to courses without a fixed weekly structure, for example a summer course, where the student pays once and attends whenever the lesson takes place.
Instrument hire
Instrument Hire fees are attached to the type of instrument a student hires from the school. They can be selected as options when setting up instruments.
For free instrument hire:
If you would like to hire out instruments for free, create an instrument hire fee and set the price to zero.
School hourly billing
School hourly billing is used to charge schools.
Schools can see their school billing details under Charges - Menu - School billing details. This can help them to approve the billing before being invoiced.
