What?
The payer balances page helps you find every payer who currently owes your school money, or is in credit.
Why?
The Payer balances page brings every payer with a non-zero balance into one list, with how long each is overdue, so you can see the full picture at a glance. The balance shown here is calculated exactly the same way as on the payer's own finance tab, so the two will always match.
How?
Follow these steps to find and naviagte the Payer balances page.
Step 1: Open the Payer balances page.
- Go to Finance.
- Select Payer balances.
Step 2: Filter the list.
- Use the search bar to search for payers directly via name or ID.
- Set an as-of date to see balances as they stood on a date different from today.
- Select a status filter: Current, Overdue, or In credit.
- Select payers by clicking the checkbox. Select all payers in the list by clicking the checkbox in the header.
- Click "Export" to export the shown list to an excel file. The exported sheet includes the filters you applied, written into the sheet header.
Step 3: View a payer's invoices.
- Click on the arrow next to a payer's name to expand it.
- Select a period for which the invoices should be shown (3, 6, 12 months, all)
- By switching the switch to blue, credited orders will be included in the list.
- Download the account history details (Excel).
- Download account statement (pdf).
In the menu, you can dowload the invoice, or credit it.
Best practice
Because the balance on this page is calculated the same way as on the payer's own finance tab, you can trust the two to always agree — use this page to find who to follow up with, then open the payer for the full detail.
