What does the feature mean?
Through the messaging feature, you can send emails and text messages to students and guardians from within the system. You can use templates and autofields and send attachments and links.
Why should I use this feature?
To easily and smoothly contact your current students without having to maintain contact lists or leave the system.
How do you use the feature?
There are many ways to send a message. Wherever you find the message icon in the form of an envelope, you can open an email.
Step 1: Choose recipients
Specific course
Students in a specific course
To send a message to a specific student or group, you can go to a course in your timetable.
- Click on the course
- Click on the message icon
- Choose whether you want to send the message to students already attending the course or to students waiting for a place
Different courses
Students in several different courses
- In the timetable view, click on the "Bulk manage" tab
- Select courses by clicking on them; click the box at the top of a column to select all courses on the chosen day
- Click on "Message"
All students
All your students
- Click on "Resource - Booking"
- Use the various filters if you want to narrow down (for example, make sure your name is in the "Teacher" field)
- Select all students (checkbox at the top) or tick the students/groups you want to send to
- If there are more than 25 bookings in the filter you have chosen, you need to click on the text "Select all rows" to include them all
- Click on "Send message"

- You can also choose to send a message to students who are on the waiting list for your courses. Then select the courses in the same way as above but click on "Send message (Waiting list)" instead.

If you want to send a message to students on the waiting list for a subject, not a specific course, you can do so via Waiting list.
Step 2: Create a message
Once you have selected recipients, it is time to compose a message.
- If you do not make an active choice, the email will be sent to both students and guardians. But you can change it so the message is sent only to students, only to guardians, or only to payers.
- Click on "Template" if you want to choose a ready-made template for your message or save your message as a template.
- Your signature is already included in the email; you should not change it.
- Via the "<Merge field>" button, you can ensure the email fetches unique information for each student you send to.
- Click on "Preview" to see how the email will look for each individual recipient. Here you can also see how your signature appears.
- If you want, you can attach files or images or add links to your message.
- If you want to send a text message, start typing in the SMS text field.
- When you are satisfied, click on "Send"
When the recipient replies to an email, the response goes to the inbox of the email address you have entered in your profile. The email conversation then continues outside the system.
Text messages sent via the system cannot be replied to.
Step 3: View sent messages
- Click on the message icon in the menu bar and choose "Overview of sent messages".
- The number in the coloured circle indicates how many recipients the message has, and the colour of the circle indicates whether the message has been sent to the recipients or not.
- Click on "Delivery status" if you want to see which recipients the message has been addressed to.
- Click on "Delivery status" to read the message you sent.
