Custom fields

What: A custom field is a field that the SuperUser can create. For example, it can be used to ask applicants questions in the application process. It can also be used to store information about the user that you collect in other ways. Custom fields can be set up for all resources with a profile, such as students, teachers, intruments, courses, and schools. The access to custom fields can be regulated to define who can see and edit them.

Why: If there is information that you would like to save on the profile card, for example it can be answers to questions you ask in the application process, then you must create custom resource fields for that. 

How:

There are multiple ways to set up custom fields. Follow these steps to create custom fields:

Method 1: Through settings

  1. Go to Settings - Custom fields
  2. Chose the type of profile you would like to set up a field for, and click on " Create".

Method 2: Through profiles

  1. Navigate to any student/course/teacher profile.
  2. Click on the three dots and select “Set up custom fields for all students/courses/teachers":

     

  3. Click “Create”

  4. Both methods will lead you to this window. Fill in the fields and click "Create".

Field name: the name you need to choose when you later need to use the field in an application field.

Field type: you can choose different types in the dropdown menu, e.g. date, short text, yes/no, file, dropdown menu, etc.

Order: shows hierarchy of the field on the datacard

Read access: select one or more groups who can read the data in the custom field

Write access: select one or more groups who can edit the data in the custom field

Section: select under what section the field should appear. The section can be set up in Settings - Custom fields - Sections

Required: select this to ensure question is answered upon application.

Allow export to webservice: Only relevant if you have an API.
