What: Deregistering a student removes them from a course as of a chosen date, and the course will no longer appear under Lessons on the student card.
Unchecking “Active” under Lessons shows that the student was previously registered.
Why: A student must be deregistered when they no longer need to stay in a course, so they don’t keep occupying a place or continue to be billed for it.
How: The guardian can request deregistration in SpeedAdmin, and the super user approves it.
Alternatively, the super user can deregister the student directly from the student card.
For guardians to submit a request for deregistration, the function of Allow deregistration must be activated under Settings - Directory - Deregistration. See the guide Allow guardians to request deregistration
Step 1: The guardian submits a request for deregistration
- The guardian logs in to SpeedAdmin
- Find and select the correct course on the start page
- Click Options
- Click De-register
- Fill in the relevant information in the box and click “Save”
- The request for deregistration has now been submitted.
- The guardian will receive an automatic email that the request has been received
The student has not yet been deregistered from the course. This will only happen when the super user actions the guardian's request and deregisters the student.
Step 2: Handle the unsubscribe request
It is now the superuser’s responsibility to process the deregistration.
The steps are as follows:
-
On the home page, click “Discontinuation requests”
- Select the student(s) you want to manage
- Click “De-register”
Step 3: Manage fee for the course (if necessary)
The fact that the student is deregistered from a course does not mean that the fee for the course is removed. The superuser therefore needs to adjust the fee for the student manually if:
- The student is deregistered during an ongoing billing period
- Invoices for the period have not yet been paid
- The student does not have to pay for the course
If the guardian is unable to submit a request for deregistration or the superuser needs to deregister students manually for other reasons, here's how:
Step 1: Go to the student card to deregister
- Go to the student card and click on the three dots next to the course from which the student is to be deregistered
- Click “De- register”
Step 2: Fill in the details of the deregistration
- Select the reason for cancellation
- Select the last day of teaching from the drop-down list
- Choose if you want an automatic confirmation email to be sent out to payers (the content of the template can be viewed by following -> Confirmation when unsubscribed by admin under Settings -> Communication -> Email and SMS templates)
- Choose whether an automatic confirmation email should be sent to teachers (you can see the content of the template -> Notification to teacher that student has left under Settings -> Communication - Email and text message templates)
- Click "Save"
Step 3: Choose what to do with empty booking (if necessary)
If there are no students left in the booking after you have deregistered the student. Choose whether you want the booking to remain in the teacher's schedule so that it can be filled with a new student, or if you want to remove the booking from the teacher's schedule completely.
Selecting “Remove course from student” permanently removes the course from the student record. It will no longer appear on the student card, lists, statistics, or fee tracking (except in issued invoices). This action cannot be undone.
