Setting up re-registration flow - copy

What does this feature mean?

Through settings and automatic email dispatches, you can prompt guardians to log in and confirm students' course places during a specific time period.

Why should I use this feature?

To ensure that students wish to continue their courses and to free up places where students do not want to continue.

How do you use this feature?

For this to be visible a feature must be enabled via contacting SpeedAdmin support and requesting it. 

Once the feature is activated, the option for re-registration will appear in 'Settings', under 'Waiting list settings' then the tab 'Re-registration Setup'

Step 1: Set the time period

  • Click on the tab 'Re-registration Setup'
  • Click the 'Set a one time deadline' button to set the number of days before guardians will be asked to confirm the students' course.

Step 2: Create a reminder

  • Click 'Create' to make a reminder that will be used 
  • Give the reminder a name
  • Set how many days before the deadline the reminder should be sent out
  • Choose which email template should be used for the reminder
  • Click 'Create'

 

Guardian view

  • When the guardian logs into their account they will see a banner at the top of the page displaying 'Action Required'.
  • When the guardian clicks the banner, a box appears with an option to make a choice for each course place. Under the heading you can see the latest date by which these choices must be made.
  • Both course places and waiting list places will be shown in the box for them to confirm.

Managing unconfirmed course places

  • Under the Inbox symbol on the top of the page - you as a superuser can see which course places have not yet been confirmed. Here you have the option to manually confirm course places or deregister students.
  • On the 'Pending User actions' tab you will find course places that the payer has chosen to terminate, and you can manage them from this view.

 

  • You can also click the three dots on the far right of a row to open the same box that the guardian sees and from there confirm the place on behalf of the guardian. 
  • An automatic message will then be sent to the guardian about the choices made.

 

Questions and answers:

What happens with courses that have an end date?

Courses that have an end date will not appear for a guardian to confirm.

Should students with a future start date also confirm their place?

No, if the student has a future start date or if the student enrolled after the re-enrolment period started, the course will not be included in the confirmation message to guardians.
