Why should I care about rights management ?
Rights management is an effective tool in SpeedAdmin, enabling you to decide what information can be seen by teachers and other various user groups. Understanding rights management will give you control and open up possibilities to include stakeholders and enable you to communicate effectively to these groups as well.
Where in SpeedAdmin do I work with rights management ?
You find our rights management system in SETTINGS > RIGHTS. You are also able to view what rights are assigned to a specific user from their data card via FUNCTIONS > View rightsgroup overview.
STANDARD RIGHTS GROUPS
Before you edit or create rights groups in SpeedAdmin be aware that the following standard rights groups already exist:
- Student/Guardian - When creating a new student/guardian the user will be assigned to this group automatically
- Teacher - When creating a new teacher the user will be assigned to this group automatically
- Superuser - When creating a new superuser the user will NOT be assigned to any rights group. The superuser rights are very powerful so after creating a USER profile you will have to assign the user manually to a rights group. In most cases this would be the the superuser rights group, but you might decide to create several admin rights groups with different levels of rights.

Adding a member to a rights group
To access rights management go to SETTINGS > RIGHTS
- Locate the rights group you want to add a user to and select "Members"
- In the members menu make sure you have selected the correct tab for the user type (Teacher, User or Student) you want to add. You are also able to select a membership criteria (e.g. an ensemble, user type or course) which will automatically assign user if they are in the course/ensemble, or if they are assigned a specific user type on their data card.
- Add the username by selecting the user in the drop down and select "Insert"
- Now the user is automatically assigned those rights contained within the rights group.
Tip! - Users can be members of multiple rights groups that "supplement" the rights of each group they are a member of. A good way of managing extra rights is to create a new rights group which includes 'extended' rights for a specific user type (for example, if you want particular groups of people within your service to have some extra rights based on their roles and responsibilities).
Reviewing, adding and removing rights in rights groups
Before editing the rights of a rights group, check the user types or individual users that are assigned to the rights group you are editing, especially when editing the standard rights groups.
To access rights management go to SETTINGS > RIGHTS
- Locate the rights group you want to manage and select > Rights
- In the following menu you will see the rights the group currently has (on the right-hand side) and the rights it does not have (on the left-hand side).
- To add a right, select the one you want from the left-hand list and click "Add"; to remove a right, select the one you want from the right-hand list and click "Remove". Use the search bar to locate the right you need faster.
- Finish by closing the box.
Creating a rights group
It is possible to create additional rights groups for new user types, or as an extra set of rights for existing users.
To access rights management go to SETTINGS > RIGHTS
- Type a name for the rights group you want to create in the empty field in "Rights group name" column.
- Select "Insert" to create the rights group.
Your rights group should now be listed and you are now able to add members and rights to the group.
Other useful functions in rights management
There are more options available in the rights management system such as:
- Edit - Let's you rename the rights group.
- Actions > Delete - Let's you delete a rights group.
- Actions > Copy - Let's you copy an existing rights group. If you want to create a rights group similar to one of the standard groups, you can easily copy the group and add or remove rights. This saves you having to create a new set of rights completely from scratch!
- Login settings - If your SpeedAdmin is configured to support logins other than username and password, the login options can be limited for certain rights groups.
- Download report - This option downloads an Excel report that gives you a sheet with users, added rights and 'inactive' rights for that rights group.
Tip! - A useful function is also viewing the rights assigned via a user data card. Select FUNCTIONS > RIGHTS GROUP OVERVIEW for a quick review of that specific user's rights.
