Why "Small groups" and what are they?
SpeedAdmin views student tuition in 2 ways, group tuition (Ensembles, whole class...) or individual tuition (Lesson, instrumental...). But in some cases students need to be handled as an individual but grouped together with other students in the teacher timetable as one "booking".
How to get started on small groups ?
There are different scenarios when working with small groups and you might even have existing small groups that you have created or that are present after you imported data into SpeedAdmin. We will try to cover several scenarios. But before covering these you need to know that...
Getting to the small group functionality
...small groups are created and edited from the teacher lessons screen!
The basics
To access the teacher lessons screen start with:
- Selecting the teacher you want to create or edit small groups for by accessing the datacard. (Left click teacher name in "Search > teacher" or use the super search)
- As you have the datacard displayed notice the "You are currently administrating: ..." is displaying the teacher name you wish to edit in the top right corner.
- Select the lessons icon to access "Lessons".
- You should see the lesson information of you previously selected teacher profile. Below you find the tab "Lesson" where you are able to create a small group, ungroup a small group and edit a small group.
Grouping the students
1. Creating a small group (students aren't grouped)
- Under the teacher "Lessons" tab mark the students you want to group with a checkmark on the left hand side of their student id > . To make you selection easier remember that you can sort the list of students by clicking the column header.
IMPORTANT! When grouping students, they MUST have the same course type and be at the same course school! - Once all students have been marked select the "Actions" button >
- In the "Actions" menu select "Assign group number" >
- In the following screen you need to fill out the following information:
- "Small group no." - This is the number assigned for the small group for this teacher. In the top you will see any small group numbers that have already been used for this teacher listed - once a group number has been used, it cannot be used again even if the group number has since been unassigned.
- "Applies from date" - This date determines from when the small group is being created, all data including the student bookings, cancelations and attendance will be retained prior to this date.
- "Total number of minutes" - Here you specify the total number of minutes for the group.
- Create the group by selecting "Assign group number".
Now you have created a small group and the pupils have now got a small group number; their individual minutes have been adjusted and the students are now grouped in one booking block in the teacher's timetable from the date specified in "Applies from date".
2. Unassigning a small group (all students need to be ungrouped)
- Under the teacher "Lessons" tab mark the students you want to ungroup with a checkmark on the left hand side of their student id > . To make you selection easier remember that you can sort the list of students by clicking the column header "small group no.".
- Once all students to ungroup have been marked select the button >
- In the "Actions" menu select "Unassign group number" >
- In the following screen you need to fill out the following information:
- "Applies from date" - This date determines from when the small group is being unassigned, all data including the small group bookings, cancelations and attendance will be retained prior to this date.
- "Minutes per student" - Determines the number of minutes for each student when being changed to a lesson student.
- Finish by selecting "Unassign group number".
3. Editing small groups (removing students in a existing small group)
Unassigning a student (or several)
- Under the teacher "Lessons" tab mark the students you want to ungroup with a checkmark on the left hand side of their student id > . To make you selection easier remember that you can sort the list of students by clicking the "small group no." column header.
- Once the student(s) you want to unassign have been marked select the button >
- In the "Actions" menu select "Unassign group number" >
- In the following screen you need to fill out the following information:
- "Applies from date" - This date determines from when the student(s) is being unassigned, all data including the small group bookings, cancelations and attendance will be retained prior to this date. The small group from which the student(s) is removed will retain it's booking with the remaining group members.
- "Minutes per student" - Determines the number of minutes for the student(s) when being changed to a lesson student.
- Finish by selecting "Unassign group number".
Remember that the unassigned student(s) need to be rescheduled when removed from the small group!
