This guide will show you how to create discount schemes and manually assign these to specific students.
Adding discount rights (Settings > Rights)
To create and assign discount schemes, you will first need to decide which user groups should be able to do this. This would usually be Superusers and Finance/Admin rights groups.
Add ‘Edit student discount scheme’ to the relevant rights group(s):
Adding discount schemes to tuition fees (Settings > Tuition Fee)
After the right has been added, you can now add discount schemes to different tuition fees. You will need to start by creating the different discount schemes that could be used on any tuition fee.
- Start by selecting one of your tuition fees that want to add discounts to.
- Select the ‘Discount’ tab and then ‘Manage discount schemes’:
- In the blank fields, enter the name of the discount scheme and the discount ledger code you want it to fall under. Select ‘Insert’ to save:
- Once you have created the discount scheme, you can then change the ‘Scope’ – this refers to how frequently the discount scheme should be applied. If the scope is left as ‘None’, then the discount will be applied to ALL applicable courses. If it is set to ‘Per student per term’, then it will only be applied to once applicable course each term/charge rate. You can change the scope by selecting ‘Edit’ and then selecting the relevant dropdown option. Select ‘Save’ to finish:
- When you have finished adding all discount schemes, click ‘Close’.
You now need to add the discount schemes to the relevant tuition fees.
- On the ‘Discount’ tab, select the relevant scheme from the dropdown menu.
- Enter the percentage discount OR discount amount. Whichever field you are NOT using will need ‘0’ entered.
- Click ‘Insert’ to save:
- Repeat as needed to add all required discount schemes.
- You will then need to add the discount schemes to all other applicable tuition fees.
Assigning discount schemes to students (Student profile > Charges tab)
With your discount schemes created and added to your tuition fees, you can now assign these to specific students. Unlike same course, multi-course and sibling discounts, these discounts are NOT automatically added – they must be manually assigned to students on an individual basis.
- On the relevant student’s profile, select the ‘Charges’ tab.
- Select ‘Assign discount scheme’:
- Select the discount scheme you want to assign to the student from the dropdown menu:
- Enter the Start date for the discount scheme – this MUST be in place before the first applicable charge rate starts, so set the start date for one day before. For example, if the discount scheme is to be applied from the Spring term which starts on 1/1/24, then the start date of the discount scheme must be set to 31/12/2023.
- The end date can either be set to the end of the current academic year (if you review your discounts annually), or for a date in the future (if you allow your discounts to run over academic years).
- Select ‘Insert’ to save:
- If the assigned discount is not immediately added to the student’s charges, you may need to select ‘Create missing charges for student’, which will then pull the discount in:
The discount scheme has now been applied to the student. If you need to edit or delete the applied discount schemes for the student, select the dropdown arrow on ‘Assign discount schemes’ and then select ‘Manage discount schemes’:
