This guide will show you how to complete the necessary settings in order to use the salary calculator for teacher pay. This is specifically for salary calculation – for hours only, please see our Hour Calculation guide.
Setting up the Salary Calculator (Settings > Salary calculation)
If you have not yet used the salary calculator, you may need to ask Support to switch on this feature for you. Once switched on, you will find Salary calculation under the Teacher & User area in Settings.
To use the salary calculator, you first need to set-up the various areas that the feature uses. Work through each of the five tabs in order, as detailed below.
Teacher Employment Type:
- You will see pre-populated employment types. You can edit these by using the Edit crayon icon.
Edit the Name and Code Name as needed, then select ‘Update’ to save. You can also make an employment type inactive by de-selecting the ‘Active’ tick box.
- Select ‘Create’ to enter new employment types. Enter the job title and code for this type (this can be a code your service uses or simply enter any numerical value). Select ‘Create’ to save.
- Repeat as needed for all other employment types.
Teacher Pay Grade:
- Select ‘Create’ to enter the first pay grade (e.g., Grade 1, MPS 1 etc).
Enter the name and code name for the pay grade, then click ‘Create’ to save.
- Repeat as needed for all other pay grades.
Teacher Pay Period:
- You will see pre-populated pay periods. Again, you can edit these existing pay periods via the Edit crayon or create new ones (we recommend adding the year as part of the name to help keep track!)
- Enter the name and start date of the pay period (you do not need to enter an end date; the starting point of the next pay period automatically ends the previous one).
- Repeat as needed for all other pay periods.
Activity type:
- Select ‘Create’ to enter the first activity type (e.g., lessons, centre ensembles, PPA, whole class etc.)
Enter the name and code for the activity type, then select ‘Create’ to save.
- Repeat as needed for all other activity types.
Activity Pay Rate:
- Select ‘Create’ to enter your first activity pay rate. Enter the name of this rate (e.g., the year it is valid for) and select the first salary period it is valid from, then select ‘Create’ to save.
- Once created, use the dropdown arrow to expand the pay rate section, then select the relevant field and enter the different rates (£ per hour) for each activity type and pay grade. Select ‘Save’ when finished.
Assigning pay rates to bookings (Settings > Booking type)
The final step is to then link your different booking types to the activity pay rates you have created. This ensures that different bookings in teacher timetables are being allocated the correct amount of pay (particularly any booking types specific to your own service).
- Select ‘Edit’ next to the booking you want to assign a rate to.
- Select the relevant activity pay rate from the dropdown options.
- Select ‘Save’ to finish, then repeat as necessary for all other booking types which should receive pay.
