This guide will show you how to create your courses for different types of tuition and add relevant course types to these.
Courses Overview (Search > Course OR Settings > Course)
Here you can see an overview of your current courses, as well as being able to set up new courses offered by your service.
The course overview can be sorted by ‘Course’, ‘Public text’ or ‘Active’, as well as by the number of students linked to your courses.
- Search for a specific course (or courses) by entering a key word e.g. Piano
- Filter your courses by a specific Department and Category
- Select/de-select the ‘Active’ tick box to only show Active or Inactive (archived) courses
- Select the ‘Editable’ tick box to make the Department – Category field editable in this view
- Click on the highlighted headings to sort by alphabetical/numerical order
- Lesson column shows the number of students having lessons linked to this course
- Ensemble column shows the number of ensembles created using this course
- Waiting list shows the number of students on the waiting list linked to this course:
Creating a new course
To create a new course, select the ‘New course’ button.
Complete the information in the course data card:
- Enter the Name of the course – this is for internal use, and can be used to differentiate between School and Music Centre courses Top tip – If you offer the same course at different school categories, e.g. School and Music Centre, you will need to create a separate course for each of these are defined by different school categories and therefore pull into a different filter/search flow on your registration page.
- Enter the Public name of the course – this is visible for parents on your registration page/schools on the school provision request page and does not need to include School/Music Centre in the title.
- Select the relevant Department & Category that the course falls under.
- If the course is linked to School Provision, select the relevant Subject Area that the course falls under.
- Select the registration fields required for this course.
- Select the school category that the course falls under – Tuition and ensembles (including school provision such as whole class) will be School; tuition and ensembles at centres will be Music Centre; Hub/service-wide courses, such as County Groups and festivals, will be Music Hub.
- Select the course code associated with the course – These are linked to ACE coding.
- Select a school year plan (calendar) to link your course to.
- Leave the tick box selected if you want this course to be Active.
- If desired, add a photo/image to your course. This will appear on your registration page/school provision request form.
- Select the relevant Course Teaching Type for this course – the most commonly used type is Standard, which is used for all parent-paid tuition and ensembles in Schools and Music Centres; School Provision should only be used for courses that your schools request directly (e.g. Whole class instrumental tuition),
- Select Create to complete and save the course:
Adding Course Types to Courses
Once you have created your course, you now need to add applicable course types – these are the specific types of delivery available for this provision.
- Select the first relevant course type from the dropdown.
- Number of minutes will be auto-filled from your course type set-up – change if necessary.
- Number of lessons will be auto-filled from your course set up – change if necessary.
- Select the Registration and Re-registration tick boxes if this course should be open for reg/re-reg.
- Select the relevant Tuition fee that should be linked to the course type.
- Select ‘Insert’ to add this course type.
- Repeat steps 1-6 as needed to add all applicable course types:
Other Course Tabs
- Subcategories – these can be used to obtain additional information pertaining to the specific course e.g. for Orchestra courses/multi-instrument ensembles, students can include details of the specific instrument they will play within that course/ensemble.
- Registration tree – helps to organise/categorise your courses. This is how they will appear on your registration page.
