This guide will show you how your teachers can complete their student assessments, and how these are then approved/reviewed by your admin team. In this case, ‘Assessments’ refers to your students’ end of term/yearly teacher reports.
You will firstly need to create an assessment template. See our ‘Assessments – Set-up’ guide for information on how to do this.
Teachers completing assessments (under teacher log-in: ‘Assessments’ on menu bar)
When your teachers enter the Assessment area, they will see all their students listed under ‘To do’. Some students may be listed multiple times, as they will have a separate assessment for each course/ensemble they are assigned to.
Teachers can filter by course school, type (i.e. lesson or ensemble) and assessment template, as well as searching for specific students.
Top tip – when asking your teachers to complete assessments, be sure to inform them which template to use if there is more than one available!
Completing student assessments (To do):
- Select the dropdown arrow to expand. You will then see all fields to be completed.
- Complete all fields
- If you need to stop before finishing the assessment, select ‘Save draft’.
- When completed, select ‘Send to approval’.
- You can also send any additional comments/questions to the admin team via ‘Add comment’ (make sure this is only visible for Super users):
If a teacher has sent an assessment for approval, but they subsequently realise they need to make further changes/add more info, they can find the assessment under 'Awaiting approval' and select 'Undo' to move it back to 'To do':
Once they have sent to approval, teachers can monitor the progress of their assessments via the different statuses:
To-do – assessments still to be completed
Awaiting approval – assessments sitting with admin
Rejected – assessments not accepted; admin will have included a reason as to why. These need to be corrected and re-sent to approval
Approved – assessments have been accepted and will be shared with students/guardians
Top tip – ensure your teachers are notified of any rejected assessments by switching on the ‘Assessment rejected’ notification (Settings > Notification Subscription Settings):

Once your teachers have started completing their assessments, you can then check these and approve/reject as necessary.
Superusers/admin have a very similar view to teachers, but you are able to see ALL teachers’ assessments. You can filter by Course school, teacher and assessment template, searching for specific students, and monitoring the progress of assessments by using the status bar:
Under ‘Awaiting Approval’, you can decide to approve or reject an assessment:
- If the assessment is fine, select ‘Approve’. This will then move the assessment to the ‘Approved’ status.
- If corrections need to be made, select ‘More’. You can then make edits yourself, or select ‘Reject’ to send back to your teacher with a reason as to why. This will move the assessment to the ‘Rejected’ status:
- You can send assessments as each is approved (select ‘Approve and send’), or send assessments under the ‘Approved’ status by selecting the message/envelope icon:
- When sending the assessments, you have the choice of embedding these into the body of the email, or attaching as a PDF:
Top tip – add ‘Student assessment’ to your parent portal (Settings > Portal > Student startpage). You can then bulk message all students/parents, instructing them to log in and view their completed assessments via their startpage/portal:
